Information and Documentation Management Specialist
An opportunity has arisen for an Information and Documentation Management Specialist at Airbus Defence and Space in Getafe (Madrid).
Responsibilities:
- Outsourcing Management: Generate DDDs for subcontracting, prepare information for order requests, negotiate with suppliers, and identify/register Work Units (WUs). Monitor and record the entire order placement process until the purchase order is released, ensuring internal registration in the established format.
- Subcontractor Management: Receive and review delivery notes and DANs from subcontractors for validity, comparing them with initial information and feedback on objective achievement.
- Personnel and Service Management: Manage the registration and removal of subcontracted personnel in GESUB and handle the renewal of subcontracting services.
- Equipment and Asset Tracking: Create and follow up on MAXIMO entries for the assignment of subcontracted sites. Maintain rigorous tracking of supplier shipments and receipts for laboratory equipment across all development iterations to meet engineering schedules.
- Administrative Tasks: Approve requests for access to shared folders and manage user subscriptions. Follow up on domain budget consumption and identify delta budget needs. Manage tickets for infrastructure management tools like MyITSM or ARSI for IT groups.
Skills Required:
- Excellent verbal and written communication skills, with negotiation proficiency in English and Spanish.
- Advanced usage of collaboration tools (e.g., Google Suite) and shared folder structures.
- Experience with logistics and purchase order management in SAP.
- High reliability and attention to detail.
